Purcell Marian High School Seeks Applicants for School Administrative Assistant

The mission of Purcell Marian High School is as a Catholic community, to cultivate the best in each for the benefit of all. The School Administrative Assistant provides meaningful support to all administrative offices at Purcell Marian High School and serves as the school attendance manager and receptionist. The ideal candidate will possess strong communication skills, be highly process-oriented, have computer proficiency in the use of Google Docs, Google Sheets, Excel, Word and data management software. Excellent customer service is paramount. Familiarity with Purcell Marian High School preferred.

Reports to Dean of Students & Director of Finance

Duties and Responsibilities

  • Support the mission and vision of Purcell Marian High School and reinforce our Marianist Catholic values and teachings
  • Open the Main Office at 7:00 AM each day for regular school business
  • Coordinate the school calendar
  • Greet all incoming visitors and ensure proper sign in/sign out compliance
  • Ensure that all phone calls are answered with the highest attention to customer service and transferred as necessary
  • Manage school-wide safety drill compliance and the NaviGate Prepared alert app
  • Maintain a variety of computerized and paper records, files, and databases
  • Ensure proper supply inventory for both the teaching corps and school administration
  • Assist with legal and state compliance tasks
  • Perform general clerical functions
  • Maintain office equipment, tools, and work areas (e.g. cleaning, load supplies, clear paper jams, etc.) for the purpose of ensuring a safe working environment and the availability of items within a specific time frame
  • Receive and distribute all mail and other delivered items
  • Support the Principal/CEO or other administrative personnel for the purpose of assisting with their administrative functions
  • Manage and track daily and period attendance

Preferred Qualifications

  • Previous experience with customer service
  • Excellent communication and interpersonal skills.
  • Ability to exercise excellent judgment in decision-making; work collaboratively and compile information, and prepare reports.
  • Organized and have ability to meet deadlines.
  • Ability to maintain confidentiality.
  • Ability to work within all Microsoft Office tools, Google tools and other database systems

  • As directed by the Director of Finance, Principal/CEO, Associate Principal, or Dean of Students
